Zapier to n8n Migration

Same automations, no per-task billing. Typical payback is under three months.

From
₹75,000 for a 10-workflow migration
Timeline
2–4 weeks including parallel run

Zapier's pricing is fine until it isn't. Once you're past roughly 50,000 tasks a month, you're paying more in subscription than a server and a build would cost outright — and the cost grows every time business grows.

We migrate the workflows where volume actually hurts, leave the trivial ones where they are, and run both systems in parallel until you're satisfied nothing was lost.

Scope

What we build

  • Full audit of your Zap inventory with task volume and cost per Zap
  • Migration shortlist ranked by savings, so you move the expensive ones first
  • n8n instance provisioning and hardening
  • Faithful rebuild of each Zap, including edge cases the original quietly handled
  • Parallel running so both systems process the same events during validation
  • Cutover plan with rollback, and decommissioning of retired Zaps
  • Cost report showing before-and-after run rate
In practice

Examples of this work

Concrete builds rather than capability statements.

₹4.1L a year saved

A D2C brand on Zapier's 100k-task plan moved eleven high-volume Zaps to self-hosted n8n. New run rate: a ₹1,400/month VPS plus a support retainer.

Zero-downtime cutover

Ran Zapier and n8n side by side for two weeks on a live order pipeline, diffed the outputs daily, and switched over only once they matched exactly.

FAQ

Zapier → n8n migration — questions we get asked

Will we lose any functionality?

Rarely, and we tell you upfront where it might happen. n8n has fewer pre-built app integrations than Zapier, but anything with an API can be handled by an HTTP node. The gaps we do find are usually in niche apps, and we flag them during the audit — before you commit.

At what volume does migrating make sense?

As a rule of thumb, above 20,000 tasks a month the maths starts working, and above 50,000 it's compelling. Below that, staying on Zapier is usually the better business decision and we'll say so.

Do we have to move everything?

No, and you shouldn't. Migrate the handful of workflows driving your task count and leave the rest. Most clients end up on a much cheaper Zapier tier rather than cancelling entirely.
