n8n vs Zapier
An honest comparison of n8n and Zapier — pricing at volume, app coverage, self-hosting, AI features, and the volume at which switching pays for itself.
This is the comparison we're asked about most, and the answer is genuinely situational. Zapier is not a worse product; it's a different pricing model with a different centre of gravity.
The short version: Zapier charges per task and gives you the widest app catalogue in the industry. n8n charges for a server and gives you unlimited executions with more engineering control. Below roughly 20,000 tasks a month, Zapier usually wins on total cost once you price in your own time. Above 50,000, n8n wins decisively.
How they compare
| Criterion | n8n | Zapier |
|---|---|---|
| Pricing model | Fixed — server cost, unlimited executions | Per task consumed |
| Cost at 100k tasks/month | ~₹1,500–4,000 (VPS) | ₹25,000+ on the relevant plan |
| App integrations | ~1,100 nodes plus HTTP for anything else | 8,000+ native apps |
| Self-hosting | Yes — full data residency | No, cloud only |
| Learning curve | Steeper; rewards technical users | Very approachable for non-technical staff |
| Complex logic | Excellent — code nodes, branching, loops | Workable via Paths and Code steps |
| AI / LLM support | Native LangChain nodes, vector stores, agents | AI actions and Zapier Central |
| Error handling | Fully configurable error workflows | Autoreplay and failure alerts |
| Maintenance burden | You own the server and upgrades | None — fully managed |
| Best for | High volume, complex logic, data control | Breadth of apps, speed to launch, non-technical teams |
What we'd tell you on a call
Choose Zapier when
Your volumes are modest, you need an integration with a niche SaaS tool, or the people maintaining automations aren't technical. The premium buys you zero infrastructure responsibility, and that's often worth it.
Choose n8n when
Task counts are driving your bill, you need data to stay on your own infrastructure, or your logic has outgrown what a linear builder handles comfortably. The trade is that someone has to own the server.
Or run both
This is what most of our clients end up doing. The handful of high-volume workflows move to n8n; the long tail of small integrations stays in Zapier on a much cheaper tier. It's rarely an all-or-nothing decision.
Frequently asked questions
At what volume should we switch?
Around 20,000 tasks a month the maths starts favouring n8n; by 50,000 it's clear-cut. Below 10,000, switching usually costs more in migration and maintenance effort than it saves.
Is n8n hard to self-host?
Getting it running is easy. Running it properly — Postgres, backups, TLS renewal, queue mode, upgrades — is where teams underestimate the work. That's exactly why managed hosting exists.
Can n8n do everything Zapier does?
Functionally yes, since any REST API is reachable via the HTTP node. What you lose is the convenience of pre-built connectors for obscure apps, which means slightly more build time per integration.
